About the Library
The University of Ottawa Library is dedicated to advancing cutting-edge research and transformative learning experiences. We connect our community to expertise, services, collections, and technology in a supportive and welcoming atmosphere.
The library system comprises three main libraries and various specialized research collections, employing approximately 150 staff members, including 55 librarians, to serve the needs of our students, faculty, and staff.
Role Responsibilities
In this position, you will be responsible for managing tasks related to the procurement of bibliographic materials, including ordering, payment processing, receipt validation, and inventory management.
Your key responsibilities will include:
- Conducting bibliographic research to gather necessary information for ordering library materials from specialized suppliers or publishers.
- Executing purchases of library resources via credit card in compliance with relevant policies, and ensuring visibility of orders in the Integrated Library System (ILS).
- Receiving and validating incoming materials, determining retention needs, and updating the public catalog accordingly.
- Processing invoices within the acquisition module, certifying their accuracy, and managing supplier payments as per established procedures.
- Serving as a resource for department members and suppliers, clarifying processes, timelines, and practices related to acquisitions.
Qualifications
- Post-secondary education in Documentation Techniques, Library and Information Science, or a related field, combined with relevant work experience.
- A minimum of one year of experience with an integrated library system, particularly in acquisitions management.
- Familiarity with bibliographic tools for acquiring print and electronic documents.
- Understanding of accounting principles for invoice evaluation and certification.
- Strong organizational skills and the ability to perform effectively under pressure.
- Keen attention to detail.
- Proficiency in computer systems and software, including word processing, spreadsheets, databases, email, and internet applications.
- Ability to lift and move boxes weighing up to 40 lbs.
- Bilingual proficiency in French and English (oral and written).
