Position Overview

The Project Management Assistant plays a vital role in supporting the Project Manager by ensuring that all project tasks and requirements are effectively coordinated. This position requires ongoing communication with the Project Manager to monitor and execute key project milestones.

Key Responsibilities
  • Assist in the initial setup of projects post-award, ensuring that the project team, budget, and necessary documentation are established for a successful project launch.
  • Contribute to the project execution strategy, identifying critical risks and scheduling milestones for each assigned project. Provide insights on resource allocation to meet deadlines.
  • Oversee project modifications in accordance with established change management protocols, ensuring all changes are communicated to both the Client and the project team.
  • Maintain comprehensive project documentation, including execution plans, risk assessments, schedules, health and safety plans, quality assurance plans, and any mandatory documentation.
  • Report project expenditures to the Project Manager, ensuring compliance with the approved budget and aligning man-hour forecasts for assigned projects.
  • Coordinate the procurement and delivery of project materials, equipment, and subcontractor services to meet project requirements on time.
  • Ensure timely processing of invoices related to accounts receivable and payable to maintain financial flow.
  • Facilitate project reporting for both the Client and internal stakeholders, ensuring effective communication among all parties involved. Assist the Project Manager in leading project meetings, including kick-offs, updates, change orders, recovery strategies, and lessons learned sessions.
  • Monitor safety and environmental compliance for each project.
  • Track quality assurance and acceptance criteria for assigned projects.
  • Identify staffing needs for projects, including specialized consultants and subcontractors, and set clear expectations for team members to ensure successful project outcomes.
  • Assist the Project Manager in project closure and post-project evaluations to identify improvement opportunities and provide recommendations based on insights gained.
  • Perform additional tasks as assigned by the Project Manager to support the effective and safe execution of projects.
Qualifications
  • Bachelor's degree in Electrical Engineering, Business, or a related discipline is required.
  • Project Management Professional (PMP) certification or equivalent is preferred.
  • A minimum of 1 to 3 years of experience in managing medium to large-scale construction projects is required.
  • Strong problem-solving and analytical abilities, with a proven track record of managing diverse teams in a fast-paced, deadline-driven environment.
  • Familiarity with MS Project, Primavera P6, HardDollar, and ViewPoint Construction Software is preferred.
  • A valid class 5 driver's license with a satisfactory driving record is required.
