Customer Support Administration Specialist

This position is essential in delivering exceptional service to both our commercial and residential clientele. The individual will collaborate closely with Branch Managers, Technicians, and other members of the Support Services team to guarantee that customer satisfaction is achieved across all facets of our operations.
Key Responsibilities:
- Input new contracts, job sales, and product sales into our Customer Relationship Management (CRM) system.
- Organize and archive copies of contracts for new clients.
- Maintain customer accounts, including updates to contact information, billing changes, and purchase orders.
- Execute daily and consolidated month-end invoicing processes.
- Process and apply credit memos as necessary.
- Ensure the accuracy of our invoicing procedures, confirming that all relevant data is correct.
- Upload invoices into third-party customer portals.
- Print, sort, and dispatch daily invoice runs as required.
- Adhere to month-end procedures and deadlines, ensuring all invoicing is completed by the last business day of the month.
- Generate reports in Excel for customers with specific monthly requests.
- Verify the accuracy of service work tickets and post them in the CRM.
- Process credit card transactions in the CRM as needed.
- Assist in resolving customer disputes in collaboration with the accounts receivable team.
- Submit all vendor invoices for the branch into the payment processing system.
- Monitor weekly uncommitted reports with Branch Managers to ensure completion of routes and invoicing.
- Compile production and sales commission reports for review with Branch Managers.
- Support Sales Representatives and the Operations team in retrieving customer information from the CRM.
- Track business and technician licenses for expiration and renewal.
- Assemble logbooks (information binders) for customers as required.
- Handle shipping and receiving tasks.
- Undertake additional responsibilities as assigned.
Qualifications:
- A minimum of 2 years of administrative experience in a dynamic professional setting.
- Proficient in Microsoft Word, Excel, and PowerPoint.
- Familiarity with Google Suite, including Google Docs, Drives, Gmail, and Calendars.
- Able to learn and navigate multiple computer systems effectively.
- Knowledge of vendor portals is advantageous.
- Exceptional proofreading skills.
- Strong analytical abilities and attention to detail.
- Capable of multitasking in a fast-paced environment.
- Ability to prioritize tasks without direct supervision.
- Excellent verbal and written communication skills.
- Demonstrated tact and diplomacy in interactions with others.
- Strong work ethic, punctuality, and a professional demeanor.
