About the Role

We are seeking a highly organized and detail-oriented Administrative Assistant to join our team at AYN Immigration Services Ltd. as an Office Support Specialist.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events to support our business operations.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences to ensure accurate documentation.
  • Office Procedures: Develop and establish office procedures and routines to maintain efficiency and productivity.
  • Scheduling: Schedule and confirm appointments, meetings, and events to ensure smooth operations.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries in a professional and timely manner.
  • Supply Management: Order office supplies and maintain inventory to ensure a well-stocked and organized workspace.
  • Customer Service: Greet clients and direct them to relevant contacts or service areas to provide excellent customer service.
  • Document Management: Set up and maintain manual and computerized information filing systems to ensure accurate and secure document storage.
  • Correspondence: Type and proofread correspondence, forms, and other documents to ensure accuracy and professionalism.
Requirements
  • Education: College or CEGEP diploma.
  • Experience: 1 year to less than 2 years of experience in an administrative role.
  • Computer Skills: Proficient in MS Office.
  • Language: English.
  • Work Term: Permanent.
  • Work Hours: 40 hours per week.
