ADMINISTRATIVE AGENT:

ROLE DESCRIPTION

The primary responsibility of the individual in this position is to execute a variety of intricate administrative functions in accordance with established protocols and procedures.

KEY RESPONSIBILITIES

The individual ensures adherence to relevant standards, regulations, directives, policies, methods, and procedures by drafting, preparing, verifying, and monitoring invoices, purchase orders, receipts, various registers, payroll, absences, leaves, taxation, financing requests, statistics, statements, forms, inventories, or any other similar administrative documents; gathers, validates, and compiles essential data.

They perform bookkeeping tasks, reconcile accounts, process payments, deposits, categorize expenses, maintain a petty cash fund, compile budgetary information, assist in budget formulation, and provide updates on budget statuses.

They communicate with both internal and external stakeholders to obtain or relay information pertinent to their responsibilities, meet deadlines, clarify standards and regulations, convey decisions, and draft necessary correspondence.

As per instructions, they manage all administrative operations related to assessments and oversee examination processes.

Utilizing a computer and relevant software, they carry out their duties such as word processing, database management, spreadsheet creation, and specific applications, conduct online research, and utilize email. They may also offer occasional support to colleagues in using software and applications.

They may mentor new administrative agents and coordinate the efforts of support staff.

They undertake any other related tasks as required.

ESSENTIAL QUALIFICATIONS

  • Possession of a specialized studies diploma relevant to the job class or an equivalent recognized by the appropriate authority;
  • Minimum of one year of relevant experience.

SECRETARIAL ROLE:

ROLE DESCRIPTION

The main function of the individual in this role is to assist one or more individuals by performing secretarial duties.

KEY RESPONSIBILITIES

The individual types documents and data from manuscripts or various sources into a computer and formats them into letters, tables, reports, and more; checks for spelling and grammar errors, answers phone inquiries, provides general information, updates files and records, organizes files and documents, manages mail, and delivers it to recipients, writes receipts, letters, or notes, and conducts research for forms, reports, and correspondence.

They may also assist in the procurement of school supplies by transcribing and verifying information, manage book lending, and participate in the sale of school supplies, as well as compile, verify, and enter data.

They utilize a computer and necessary software, including word processing, databases, spreadsheets, and email, and may assist colleagues with software usage.

They may train new secretaries and perform any related tasks as necessary.
