Job Title: Executive Assistant

Medicine Hat Public School Division is seeking a highly skilled and organized Executive Assistant to provide administrative support to the Associate Superintendent of Human Resources. The successful candidate will act as the first point of contact for all inquiries intended for the Associate Superintendent and provide comprehensive administrative and clerical support to the Human Resources Department.

Key Responsibilities:
  • Provide administrative and clerical support to the Associate Superintendent and the Human Resources Department.
  • Draft, type, format, copy, distribute, file, and retrieve correspondence, reports, and documents of a routine or confidential nature.
  • Maintain employee personnel files and related HR documents.
  • Assist in the organization and preparation of various Division events, meetings, and training sessions.
  • Cross-trained to coordinate substitute staffing for approximately 7 months.
  • Support the staffing, recruitment, and onboarding of employees.
  • Maintain the Division online human resources database, coordinating the communication of this information to other Division supports, such as payroll and IT department.
  • Provide administrative and clerical support to the Human Resources Manager and other department members as needed.
  • Maintain and manage the casual/sub list of teachers and educational assistants, coordinating the sub desk daily.
Qualifications:
  • Successful completion of a certificate or diploma in Office Administration or a related field from a recognized post-secondary institution is an asset.
  • Minimum of 3-5 years of experience in an Administrative Assistant role supporting senior management.
  • Demonstrated knowledge and experience in a variety of software applications, including MS Office, SharePoint, and Google Docs.
  • Experience working in a human resources and/or education-based environment is an asset.
