About the Role

We are seeking a highly skilled and experienced Conference Manager to join our team at Venue West Conference Services. As a Conference Manager, you will be responsible for managing and guiding national and international conferences in person, virtually, and hybrid for corporations, associations, special interest groups, and independent businesses.

Key Responsibilities:

  • Lead conference teams and serve as the face of Venue West to clients
  • Develop and manage conference project plans with timelines, risk management assessments, and mitigation actions
  • Liaise with clients to identify and define requirements, scope, and objectives
  • Manage internal cross-functional teams for each project
  • Mentor team members on their assigned duties
  • Prepare post-conference reports, including financial and survey results, and organize a conference debrief with the committee and other stakeholders
  • Develop and monitor budgets to ensure revenue and expenditure are kept within established boundaries
  • Report monthly to clients on each assigned project
  • Review all invoices for accuracy and ensure all financial transactions are accurate
  • Finalize financial reconciliation of each project
  • Manage exhibition and sponsorship sales, assist with marketing, and ensure all sponsorship entitlements are delivered
  • Work with registration to create and launch the registration site
  • Oversee the preparation of delegate materials and manage logistics, suppliers, and teams on-site

Requirements:

  • Demonstrated experience multitasking and prioritizing
  • Degree or diploma or combination of education and demonstrated experience
  • 3-5 years as a conference manager
  • Excellent client management skills
  • Strong English grammar skills
  • Microsoft Office Package
  • Ability to work with multiple teams and supervisors

What We Offer:

  • Competitive salary ($65,000 - $75,000 depending on experience and qualifications)
  • Benefits package after 3 months
