Job Title:
Philanthropy and Alumni Relations Coordinator

Reporting to the Philanthropic Development Director, the successful candidate will assist the Philanthropy and Alumni Relations office by executing the following responsibilities:



KEY RESPONSIBILITIES:
  • Address donor inquiries effectively;
  • Organize and follow up with donors (including preparing agreements and notifying relevant departments);
  • Collaborate with administrative personnel to ensure seamless information flow regarding scholarship funds;
  • Maintain donor records (updating information, archiving documents, etc.);
  • Prepare donor-related information (including budgets) across various systems and ensure proper archiving;
  • Assist with managing in-kind donations;
  • Prepare necessary documents for receipt issuance;
  • Participate in the planning of sector events and activities;
  • Generate reports for donors;
  • Anticipate and address philanthropic development needs;
  • Provide administrative assistance to the philanthropic development director;
  • Process invoice payments, payment requests, and purchasing requests;
  • Organize business travel and prepare travel reports;
  • Review scholarship fund nomenclature for graduation ceremonies;
  • Execute other related tasks as necessary.


REQUIRED QUALIFICATIONS:
  • A post-secondary degree is required; equivalent combinations of education and experience will be considered;
  • Several years of experience in philanthropy or a related field;
  • Proven ability to cultivate and sustain relationships with donors, alumni, and supporters;
  • Experience in financial management;
  • Strong communication skills;
  • Capability to work independently as well as collaboratively;
  • Excellent writing skills in French;
  • Empathy, diplomacy, and strong interpersonal skills;
  • Attention to detail with the ability to manage multiple priorities;
  • Initiative, sound judgment, discretion, and organizational skills;
  • Proficiency in Microsoft Office suite and eagerness to learn new software;
  • Fluent in French with a good command of English.


ASSETS:
  • Familiarity with Ellucian and ACCESS databases;
  • Understanding of the academic environment.
