Job Title:
Philanthropy and Alumni Relations Coordinator

Reporting to the Philanthropic Development Director, the selected candidate will provide support to the Philanthropy and Alumni Relations office by executing the following responsibilities:



KEY RESPONSIBILITIES:
  • Address donor inquiries efficiently;
  • Coordinate and follow up with donors (including preparing agreements and notifying relevant departments);
  • Collaborate with administrative personnel to ensure smooth information flow regarding scholarship funds;
  • Maintain donor records (updating information and archiving documents);
  • Prepare donor information (including budgets) across various systems and ensure proper archiving;
  • Assist with the management of in-kind donations;
  • Prepare documentation for receipt issuance;
  • Collaborate on sector events and activities;
  • Generate reports for donors;
  • Anticipate and fulfill philanthropic development needs;
  • Provide administrative assistance to the philanthropic development director;
  • Manage invoice payments, payment requests, and purchasing requests;
  • Organize business trips and prepare travel reports;
  • Review scholarship fund nomenclature for graduation ceremonies;
  • Perform other related tasks as required.


QUALIFICATIONS REQUIRED:
  • A post-secondary degree is required; equivalent combinations of education and experience will be considered;
  • Several years of experience in philanthropy or a related field;
  • Proven ability to build and maintain relationships with donors, alumni, and supporters;
  • Experience in financial management;
  • Strong communication skills;
  • Ability to work independently as well as collaboratively;
  • Excellent writing skills in French;
  • Empathy, diplomacy, and strong interpersonal skills;
  • Attention to detail and capacity to manage multiple tasks;
  • Initiative, sound judgment, discretion, and organizational skills;
  • Proficiency in Microsoft Office suite and a willingness to learn new software;
  • Fluent in French with a good command of English.


PREFERRED ASSETS:
  • Familiarity with Ellucian and ACCESS databases;
  • Understanding of the academic environment.

Salary Range:
$62,000 - $72,000 per year.
