As a key contributor to our operations, the Aviation Trip Coordination Specialist will collaborate closely with the Trip Support Manager to facilitate comprehensive trip support and flight monitoring for our corporate aviation needs. Responsibilities will be allocated by the Trip Support Manager to ensure effective workload distribution and coverage during absences.

Key Responsibilities:

  • Collaborate with the Aircraft Travel Coordinator and relevant stakeholders to establish trip itineraries and optimize airfield selections based on destination requirements.
  • Investigate specific entry regulations for various countries and provide guidance to the Aircraft Travel Coordinator and flight crew.
  • Input requested trips into scheduling software while adhering to flight crew duty regulations.
  • Oversee the scheduling software, ensuring aircraft and crew schedules comply with regulatory and departmental standards.
  • Assist the Pilot-in-Command (PIC) in arranging accommodations for crew members as necessary.
  • Work with the PIC to identify the most efficient routing and fuel-saving strategies for trips.
  • Create operational flight plans for ongoing trips.
  • Ensure that flight plans are filed with air traffic control and make necessary updates in collaboration with the PIC.
  • Develop test flight plans to assess the feasibility of upcoming trip legs.
  • Utilize test flight plans to identify overflown countries and arrange for necessary overflight permits.
  • Secure landing permits for each destination as required.
  • Coordinate with the PIC to evaluate the suitability of destination and alternate airports for each aircraft.
  • Gather and assess all NOTAMs pertinent to each flight, providing briefings to the crew regarding any potential impacts.
  • Compile relevant weather forecasts, charts, and information to assist the crew for each leg of the journey.
  • Monitor ongoing weather conditions and inform crews of any known or anticipated impacts on their flights.
  • Coordinate with airport ground handlers for various services, including:
    • Airport slots
    • Parking permissions
    • Lavatory and water services
    • Catering
    • Security
    • Ground transportation
    • Additional services or special requirements
  • Collaborate with the accounting department to establish payment arrangements with service providers.
  • Assist the PIC in coordinating fuel logistics, ensuring availability at each destination and obtaining competitive pricing.
  • Arrange customs services for international flights, including necessary notifications.
  • Monitor all aircraft departures and arrivals in real-time, ensuring seamless communication with service providers and customs.
  • Integrate with the company's emergency response plan to ensure prompt activation in case of incidents.
  • Maintain a robust flight safety culture, promoting open communication and information sharing.

Qualifications:

  • Experience in corporate aviation and trip support operations.
  • Familiarity with flight planning and scheduling software.
  • Strong communication skills in English, with proven influencing and organizational abilities.
  • Proficiency in computer-based office systems.
  • Knowledge of relevant aviation regulatory requirements.
  • Understanding of the Flight Operations Manual, training manuals, and Standard Operating Procedures.
  • A solid operational background with significant technical knowledge and experience in the aviation industry.
