We seek a dedicated running enthusiast to join our team as an Event Management Specialist.

Role Overview:
As the Event Management Specialist at Run Ottawa, you will be integral to the planning, execution, and overall success of our events. Your key responsibilities will include:

Run Ottawa Events:

  • Assist in all Run Ottawa events, including preparatory tasks, on-site setup, event oversight, and breakdown.
  • Oversee Race Registration Software, including event configuration, testing, and closure, along with volunteer pages and participant communications.
  • Develop and implement all communications within management software.
  • Manage green bib and charitable contribution reporting.
  • Coordinate volunteer registration and communications.
  • Support the marketing team with design feedback, new promotional campaigns, and communications.
  • Collaborate with charity partners to address their event needs, provide on-site assistance, and finalize donation processes.

Ottawa Race Weekend:

  • Design and distribute race registration emails.
  • Oversee the Ottawa Kids Marathon School Program.
  • Create volunteer pages, manage communications, and evaluate volunteer requirements based on participant numbers.
  • Facilitate communication with the Race Committee, ensuring they have the necessary volunteer numbers, supplies, and resources.
  • Provide fundraising assistance to charity partners and create storytelling opportunities with participants and/or charities.
  • Develop marketing strategies for fundraisers.
  • Manage the VIP Finish Line Tent, including staffing, budget, setup, and guest list.
  • Coordinate VIP arrivals, manage itineraries, and ensure all their needs are met on-site.
  • Set up the media room and handle media requirements.
  • Oversee hotel and food & beverage needs for the Elite Program.
  • Address group requests and race requirements, including charity, corporate, and high school groups.
  • Assist with the Health and Fitness Expo, including vendor support, stage scheduling, media accreditation, and launch media conference.
  • Manage presenters, starters, and finishers.
  • Provide support to media at the finish line.
  • Handle credentials for staff, contractors, suppliers, VIPs, and others.

Candidate Profile:

  • Enthusiastic about endurance sports, particularly running.
  • Active participant in running events.
  • Extensive experience in event management and volunteer coordination.
  • Exceptional task management and attention to detail.
  • Personable and outgoing, with strong interpersonal skills.
  • Degree in Sport Management, Physical Education, Kinesiology, or a related field.
  • Bilingual in French and English is a plus.
