Position Overview

We are currently seeking an Intermediate/Senior Contract Administrator to join our site office. The ideal candidate will be either an Architect with a strong interest in Contract Administration or an Architectural Technologist with substantial experience in construction management. In this role, you will be an integral part of the Contract Administration team, ensuring the thorough and timely management of all project-related documentation during the construction phase. The team will represent the Architect in all construction meetings and field-related matters.

This position is contract-based for the duration of the project.
  • Collaborate effectively with the Toronto Studio
  • Lead construction administration efforts at the site office, overseeing all current local construction contracts and administrative processes
  • Demonstrate a comprehensive understanding of relevant office administration procedures, including the preparation of essential project documentation such as meeting minutes, transmittals, and applications to authorities
  • Conduct regular site visits to observe construction progress
  • Ensure compliance with Contract Documents throughout the construction process
  • Generate and distribute supplemental drawings, specifications, and clarifications as requested by contractors or owners
  • Review shop drawings and prepare change orders, RFIs, meeting minutes, payment applications, and project closeout documentation as necessary
  • Perform building evaluations and prepare associated reports
  • Assist senior staff with both internal and external communications during the construction phase
  • Collaborate with the design team to meet objectives, resolve issues, and ensure project success as measured by client satisfaction, profitability, quality, and timeliness
  • Assist in preparing building permits
  • Coordinate consultant teams throughout the construction phase
  • Engage with clients and Approving Authorities
  • Participate in meetings with clients and/or consultants as needed
  • Review drawings for consultant coordination and compliance with local Building Codes and City Bylaw requirements prior to submission
  • Manage project Tendering processes as required
Qualifications
  • Degree in Architecture or Architectural Technologist Diploma from a recognized institution, or equivalent construction experience
  • 5-10 years of relevant experience in contract document production, contract administration, or direct construction experience
  • Energetic and curious, with a strong ability to thrive in a fast-paced, high-growth environment
  • Experience with institutional or complex building types within Canada
  • Solid understanding of both non-combustible and combustible building systems
  • Exceptional negotiation skills and leadership capabilities when working with construction personnel, along with the ability to manage multiple projects
  • High proficiency in Building Codes, specifications, building science, and construction contract practices, as well as familiarity with contract administration forms and procedures
  • Proficiency in Revit and AutoCAD is advantageous
  • LEED AP certification or knowledge of LEED Guidelines is preferred
