Objective:

  • To assist in the procurement and operational functions of the HUB procurement area by ensuring precise and timely execution of all tasks through ERP systems.
  • To act as a prominent leader in service levels with our internal business partners and suppliers.
  • Accountable for managing order fulfillment transactions, purchase order placements, and resolving blocked invoices while addressing inquiries from internal clients and suppliers.
  • Execute and manage transactional purchases, focusing on repetitive and low-value acquisitions.
  • Oversee and coordinate daily procurement activities related to materials.
  • Champion the core values of Messer Americas.

Key Responsibilities:

As an Operations Specialist, you will play a crucial role in supporting procurement and operational activities within the HUB area. Your focus will be on ensuring the accurate and timely processing of tasks through ERP systems. You will lead in maintaining high service levels with internal business partners and suppliers, managing order fulfillment and purchase order placements, and resolving any invoice issues.

Transactional Duties:

  • Evaluate and comprehend requisition needs, collaborating efficiently with requesters to issue accurate Purchase Orders to suppliers.
  • Process Purchase Orders according to established procedures and timelines, monitoring supplier delivery follow-ups.
  • Facilitate the sourcing process as necessary, leveraging procurement tools and procedures while ensuring audit readiness of all purchasing documents.
  • Analyze internal demand and external market conditions to identify opportunities for improvement.
  • Lead the expediting of urgent orders as required.

Support for Internal Business Partners and Suppliers:

  • Address inquiries from internal business partners and suppliers, adhering to established quality standards.
  • Determine appropriate resolutions for inquiries and escalate issues as necessary.
  • Deliver exceptional customer service, including:
  • Order processing, handling complaints, resolving billing issues, and addressing mis-shipments or claims.
  • Escalate issues to management when needed.
  • Request assistance from the Procurement Execution Manager as required.

Logistics Coordination:

  • Process item requests from various internal and external partners.
  • Coordinate orders with shipping companies to ensure timely and cost-effective delivery.
  • Manage international item requests, overseeing procurement through competitive bids and handling all related paperwork.
  • Maintain communication with customers and forwarders to ensure smooth customs clearance.

Vendor Invoice Management:

  • Address delivery, quality, or other issues related to purchase orders and invoices.
  • Adjust product pricing to align with supplier changes.
  • Document all inquiries and resolutions for future reference.

Monitoring and Control:

  • Track and quantify all cost reductions achieved through negotiations.
  • Monitor cost avoidance measures to prevent unnecessary expenses.
  • Measure and report on Key Performance Indicators (KPIs) as outlined in your Professional Management Plan (PMP).

Qualifications:

  • A bachelor's degree is preferred; a high school diploma or GED is required.
  • Minimum of four years of experience in procurement or supply chain management.
  • Bilingual skills in English and French are advantageous.
  • The ideal candidate will possess strong customer service orientation and interpersonal skills.
