Key Responsibilities:

As a Procurement Operations Coordinator, you will play a vital role in supporting procurement and operational activities within the HUB area. Your responsibilities will include:

  • Assessing requisition needs and collaborating with requesters to issue accurate Purchase Orders to suppliers.
  • Processing Purchase Orders in accordance with established protocols and timelines, while monitoring supplier delivery follow-ups.
  • Facilitating the sourcing process based on transaction value, utilizing available procurement tools and ensuring audit readiness of all purchasing documentation.
  • Analyzing internal demand and market conditions to identify opportunities for improvement.
  • Leading the urgent order expediting process as necessary.

Support for Internal Business Partners and Suppliers:

  • Address inquiries from internal partners and suppliers, adhering to established quality standards.
  • Conduct problem-solving for inquiries to provide appropriate resolutions or escalation paths.
  • Deliver exceptional customer service, which includes:
  • Processing orders and addressing customer complaints.
  • Resolving billing discrepancies and managing issues related to mis-shipments or returns.
  • Escalating issues to management as required.
  • Requesting assistance from the Procurement Execution Manager when necessary.

Logistical Coordination:

  • Process item requests from various internal and external partners.
  • Coordinate orders with shipping companies to ensure timely and cost-effective delivery.
  • Manage international item requests, ensuring efficient procurement through competitive bids.
  • Maintain communication with customers and forwarders to facilitate smooth customs clearance.

Vendor Invoice Management:

  • Address delivery and quality issues related to purchase orders and invoices.
  • Adjust product pricing to reflect supplier changes.
  • Document all inquiries and resolutions for future reference.

Monitoring and Control:

  • Track and quantify cost reductions achieved through negotiations.
  • Monitor cost avoidance measures that prevent unnecessary expenses.
  • Measure and report on Key Performance Indicators (KPIs) as outlined in your Professional Management Plan (PMP).

Qualifications:

  • A bachelor's degree is preferred; a high school diploma or GED is required.
  • A minimum of four years of experience in procurement or supply chain management is essential.
  • Bilingual proficiency in English and French is advantageous.
  • The ideal candidate will possess strong customer service skills and excellent interpersonal abilities.
