Event Experience and Design Specialist

About the Role

We are seeking a highly skilled and experienced Event Experience and Design Specialist to join our team at Encore Canada. As a key member of our Event Experience & Design Department, you will play a pivotal role in delivering exceptional event experiences for our clients.

Key Responsibilities

  1. Event Design and Concept Development:

    • Collaborate with event designers to create innovative and engaging event concepts that exceed client expectations.

    • Develop and implement event layouts, themes, and decor designs that bring events to life.

    • Provide guidance and support to junior designers to ensure the delivery of high-quality event designs.
  2. Project Management and Budget Oversight:

    • Manage project timelines, budgets, and vendor contracts to ensure seamless event execution.

    • Coordinate with internal teams to ensure meticulous planning and execution of events.

    • Analyze event data to identify areas for improvement and implement changes to drive revenue and profitability.
  3. Event Planning and Production Scheduling:

    • Develop comprehensive event timelines, production schedules, and critical paths to ensure efficient event execution.

    • Collaborate with stakeholders to gather event requirements and integrate them into the planning process.

    • Contribute to the creation of engaging and innovative event experiences that exceed client expectations.
  4. Event Execution and On-site Management:

    • Manage on-site aspects of events, addressing issues and ensuring smooth execution as needed.

    • Oversee event setup, coordination with teams, and client support during events.

    • Maintain composure in high-pressure situations to ensure a positive client experience.
  5. Client Management and Relationship Building:

    • Foster strong client relationships through exceptional service and communication.

    • Collaborate with clients and internal stakeholders to understand and align with event visions and requirements.

    • Address client inquiries, concerns, and issues promptly and professionally.
  6. General Responsibilities:

    • Collaborate seamlessly with cross-functional teams to ensure the smooth coordination of event projects.

    • Represent Encore Canada professionally, maintaining strong client relationships and delivering exceptional customer service throughout the event lifecycle.

    • Utilize office tools and software effectively for communication, documentation, and project management.

Requirements

  1. A bachelor's degree (BS/BA) in a related field is preferred but not required.
  2. A minimum of 2 years of relevant experience in event production, decor and design, including project management.
  3. 2-3 days in office at the Mississauga location in a hybrid model, ability to work at events in the greater Toronto Area 1-2 times a week.
  4. Exceptional organizational, time management, and multitasking abilities.
  5. Proficiency in event management software and computer applications.
  6. Excellent interpersonal skills to effectively interact with clients, stakeholders, and team members.

Work Environment

Work is performed in a hotel/convention center environment with moderate exposure to outdoor temperatures and to dirt, sand and/or dust. The working conditions will vary between moderately quiet to noisy volumes. Team members will use high-end audio-visual equipment and electrical components and will be exposed to heights via lifts and ladders. Team members may be asked to work in multiple hotel locations. Working times will include irregular hours and on-call status including days, evenings, weekends, and holidays. Team members must adhere to appearance guidelines as defined by Encore based on an individual hotel or a representation of hotels in that city or area.
