This role is crucial in supporting the team that manages CPP Investments' responsibilities towards stakeholders, international government relations, and the understanding of global political dynamics. The Administrative Coordinator will provide essential daily administrative assistance to the Managing Director, Head of Global Public Affairs, and senior members of the Global Public Affairs team.
Key Responsibilities:
- Deliver comprehensive administrative support to the Head of Global Public Affairs and the broader team.
- Organize and manage intricate global travel plans, itineraries, and related duties for professionals traveling internationally.
- Oversee calendar management for executives, collaborating with various departments to coordinate meeting schedules.
- Plan, coordinate, and supervise departmental and group meetings and events, including external engagements.
- Assist in the onboarding process for new team members.
- Facilitate the management of external relationships.
- Support the preparation and administration of departmental budgeting, including regular updates for senior team members.
- Collaborate with external partners, assistants, vendors, and stakeholders to arrange meetings and events.
- Manage the onboarding of new vendors and oversee vendor invoice processing.
- Work closely with other executive assistants and teams to enhance efficiency and provide comprehensive departmental support.
- Administer the expense reimbursement process, ensuring compliance with travel and non-travel expense guidelines.
- Ensure team members are adequately prepared for meetings and follow up on action items.
- Act as an ambassador for CPP Investments, representing the team with professionalism and approachability.
- Handle sensitive and confidential matters with discretion.
- Collaborate cross-functionally with other departments and team members.
- Accommodate staff requests while managing timelines and deliverables.
Qualifications:
- A college diploma or undergraduate degree is required.
- 5-10+ years of experience in a fast-paced professional environment.
- Proven experience in supporting multiple professionals and managing competing priorities.
- Expertise in complex calendar management, event scheduling, travel arrangements, and expense reimbursement processes.
- Proficient in MS Office (Word, Excel, PowerPoint, Outlook) and open to learning new applications.
- Experience in managing operational requests and approvals through various communication and workflow tools.
- Highly motivated, adaptable, and calm under pressure.
- Proactive in identifying opportunities for process improvements and efficiency.
- Willingness to work flexible hours as needed.
- Strong attention to detail, organizational skills, and ability to prioritize tasks effectively.
- Exceptional written and verbal communication skills.
- Able to thrive in a high-performance culture with time-sensitive deadlines.
- Personable and able to interact professionally with diverse personalities at all levels.
