About the Role

We are seeking a highly skilled and experienced Office Manager to join our team at ESET's R&D office in Montreal. As an Office Manager, you will be responsible for overseeing the day-to-day operations of the office, ensuring a smooth and efficient work environment for our employees.

Key Responsibilities
  • Finance and Accounting: Manage month-end close procedures, journal entries, employee expense reports, and cooperate with the external accountant for monthly reporting.
  • Payroll Management: Manage payroll, in collaboration with the external accountant.
  • Accounts Payable/Accounts Receivable Management: Manage accounts payable and accounts receivable.
  • Yearly Budgeting: Active role in yearly budgeting process, in cooperation with the office director.
Human Resources
  • Employee Benefits: Manage the employee benefits package (group insurance and other in-house benefits).
  • Employee Absences: Management of employee absences (vacation, sick days).
  • Employee Onboarding: Employee onboarding: maintenance of welcome package (documentation, access keys, alarm system codes, benefits program), orientation, etc.
  • Internal Events: Planning and organization of internal events.
  • Documentation: Responsible for improving and updating our internal documentation.
Facilities and Operations Management
  • Facility Management: Ensure the facilities are in their optimal condition, work on improving the quality of life in the office according to the needs of the employees.
  • Security Management: Manage office security (access control, alarm system, video surveillance, …).
  • Procurement: Manage procurement process for various supplies and equipment.
  • Supplier Management: Main contact person for suppliers.
Requirements
  • Education: College or bachelor's degree in administration or other relevant subject that includes accounting classes.
  • Experience: Minimum of 3 years of experience as an Office Manager or in a similar position.
  • Accounting Experience: Minimum of 1 year of experience in general accounting.
  • Language Skills: Knowledge of French (at least level 7 of the l'Échelle québécoise des niveaux de compétence en français) and English (at least level B2 of the CEFR), both written and oral, is required. English is essential for effective collaboration with our head office and to ensure compliance with the company's internal policies.
  • Technical Skills: Knowledge of Microsoft Suite (Outlook, Excel, Word, PowerPoint, SharePoint, Teams, Forms).
  • Additional Skills: Knowledge of NetSuite and DocuSign is an asset.
