Reporting to the Manager of Emergency Management and Facilities, the Facilities Support Services Coordinator plays a vital role in executing assigned responsibilities and offering assistance related to the administration and upkeep of office facilities. This position emphasizes maintaining a secure and efficient workplace.

The Facilities Support Services Coordinator is dedicated to achieving objectives while adhering to departmental service agreements, timelines, and quality standards.

Key Responsibilities

Facility Management and Maintenance:

- Establishes connections with property management to facilitate maintenance and repairs within the office environment.

- Coordinates the upkeep and repair of office equipment and furnishings in accordance with established service agreements and internal requests.

- Conducts site evaluations with contractors and property representatives to ensure compliance with service agreements and communicates any issues to the Facilities Manager.

Fixture Management:

- Implements adjustments to workstations as recommended by ergonomic assessments.

- Oversees office logistics for relocation services in collaboration with management and external vendors.

- Acquires office fixtures within the limits set by the organization's procurement policies.

Support Services:

- Provides comprehensive support to all Home and Community Care Support Services offices, including managing the ordering and delivery of office supplies, handling correspondence, and processing materials and equipment requests.

Office Support Responsibilities:

Supplies and Inventory

- Maintains appropriate inventory levels of office supplies and forms.

- Processes orders for various office locations.

- Fulfills supply requests from service providers and replenishes stock for employee supply cabinets.

Mail and Courier Services

- Manages the receipt and distribution of incoming mail and courier items, as well as the processing of outgoing correspondence.

Qualifications

- High school diploma or equivalent.

- At least two years of experience in office or commercial facility operations, maintenance, or logistics.

- Basic computer proficiency, including word processing and familiarity with Microsoft Office.

- Proficiency in English; bilingualism is an asset, with a basic understanding of oral French preferred.

Desired Skills

- Strong communication, interpersonal, and customer service skills, demonstrating respect and professionalism.

- Excellent multitasking and prioritization abilities, with a proven track record of meeting deadlines in a fast-paced environment.

- Self-motivated and capable of working independently as well as collaboratively within a team.

Work Schedule

- Standard working hours are Monday to Friday, 8:30 AM to 4:30 PM (35 hours per week).
