Position Overview

The Project Coordinator is responsible for the successful execution of project sub-components and non-technical initiatives.

Key Responsibilities

For the designated non-technical projects and project sub-components:

  • Facilitates project delivery through effective coordination and management of assigned sub-components within the overall project framework.
  • Assists in the preparation and execution of vendor proposal requests, bid solicitations, and contract negotiations.
  • Oversees non-technical projects, including but not limited to furniture installation, reconfiguration, office space construction, painting, and re-carpeting.
  • Conducts research and collaborates with vendors to gather quotes, providing recommendations on preferred partners.
  • Prepares cost estimates for assigned non-technical projects.
  • Identifies and organizes resource requirements.
  • Creates schedules and tracks progress against established timelines.
  • Builds and maintains effective relationships with vendors, monitoring work progress to ensure timely completion.
  • Ensures that assigned project sub-components and non-technical projects are delivered on schedule, within scope, budget, and in compliance with all regulatory, environmental, health, and safety standards.

Client Relationship Management

  • Establishes and nurtures effective relationships with clients.
  • Takes responsibility for resolving issues, managing client expectations, and ensuring overall client satisfaction.
  • Escalates issues as necessary.

Project Administration

  • May undertake project administration tasks as required.

Knowledge & Skills

  • 3 to 5 years of experience in project administration or related administrative roles, complemented by a Community College diploma or equivalent training.
  • Strong administrative, coordination, and organizational skills, with relevant experience.
  • Proven project coordination capabilities, with experience in managing the end-to-end delivery of project sub-components.
  • Demonstrated ability to deliver non-technical projects effectively.
  • Familiarity with vendor acquisition practices and contract preparation.
  • Experience in preparing accurate cost estimates.
  • Proficient in creating project schedules and determining resource needs.
  • Ability to coordinate vendor activities and ensure successful project completion.
  • Effective communication and influencing skills.
  • Proficient in MS Office applications, with a proven ability to quickly learn new software.

Licenses and Professional Accreditation

Demonstrates a commitment to pursuing Project Management Institute Accreditation.
