Job Summary

We are seeking a highly organized and detail-oriented Claims Administrator/Coordinator to join our team at ServiceMaster Restore. As a key member of our claims team, you will play a critical role in ensuring the smooth flow of claims from assignment to final invoicing and closing.

Key Responsibilities
  • Monitor and manage incoming claims, ensuring timely responses and distribution to relevant team members.
  • Organize and maintain accurate and up-to-date paper and electronic files, adhering to company standards.
  • Prepare and upload required documents, estimates, and procedures, utilizing industry-specific software.
  • Enter purchase orders and invoices, requiring basic accounting knowledge.
  • Understand and manage the claims flow process, including Water Mitigation, Reconstruction, Contents, and Environmental work.
  • Manage data entry for each claim from First Notice of Loss through to completion in the CRM system.
  • Daily review of compliance tasks and job tasks to ensure timely completion.
  • Monitor and update jobs in the operating system, ensuring efficient flow through the claims process.
  • Create and assist with job assignment creation in Xactimate and Encircle, reviewing final estimates for completeness.
  • Understand and adhere to company cycle times and Service Level Agreements (SLAs) for each job and phase.
  • Provide exceptional customer service, empathizing with clients who have experienced loss of personal property.
  • Work in a fast-paced environment, prioritizing tasks and ensuring daily notes are entered in all jobs.
Requirements
  • High school diploma or equivalent required.
  • College or university diploma in Administration or Business, or applicable experience preferred.
  • Exceptional customer service skills.
  • Experience with Microsoft Office applications (Word, Outlook, PowerPoint, Excel, and Adobe) required.
  • Experience with Sage 100 (accounting) and Restore 365 (industry-specific) will be considered a strong asset.
  • Knowledge of the insurance industry and related software, such as XA, Xactimate, and Encircle, will be considered a strong asset.
  • Personal time management and organizational skills.
  • Strong verbal and written communication skills.
  • Dependable and adaptable to operate within a fast-paced work environment.
  • Ability to manage highly confidential information.
  • Strong problem-solving skills.
  • Experience with customer interaction and conflict resolution.
