Reporting to the Business Development and Estimating Manager, the Bid Proposal Specialist plays a crucial role in coordinating, supporting, and drafting Requests for Qualifications (RFQs), Requests for Proposals (RFPs), Expressions of Interest (EOIs), and Market Sounding submissions. The ideal candidate will possess exceptional technical writing abilities and thrive in a fast-paced, deadline-oriented environment. As a vital member of the proposals team, the Bid Proposal Specialist will collaborate closely with both internal and external stakeholders to produce high-quality submissions aimed at securing new projects. The role involves approximately 70% of time dedicated to reading, writing, editing, and formatting, alongside 30% allocated to organizational tasks.
Your Responsibilities:
- Analyze and gain a comprehensive understanding of client proposal and bid requirements;
- Develop proposal timelines and responsibility matrices, including project and key individual selections;
- Create standardized templates for proposals, resumes, and project documentation;
- Prepare, edit, and format proposal sections, resumes, and project documentation in readiness for submission;
- Monitor and ensure timely delivery of proposal materials from both internal and external partners, including necessary forms and letters;
- Assist in the writing, formatting, and proofreading of proposals based on contributions from multiple authors;
- Conduct research to gather relevant statistics, project plans, and other information to enhance content;
- Ensure all content meets compliance with proposal requirements;
- Draft proposal write-ups on various construction-related topics, including methodologies, risk management, staffing, work plans, cover letters, and summaries;
- Organize and schedule team meetings, prepare agendas, and document meeting minutes;
- Print, package, and deliver final proposal submissions or submit electronically as needed;
- Manage document management systems such as SharePoint or others;
- Perform data entry to maintain the accuracy of pursuit reports and schedules;
- Track and report on Key Performance Indicators (KPIs) and other team objectives;
- Participate in pre-bid and post-bid debrief meetings, summarizing results and lessons learned for the project team;
- Foster an inclusive culture that promotes equity, embraces diverse perspectives, and supports career advancement;
- May provide general support to senior management as required;
- Occasional travel may be necessary.
Your Qualifications:
- Excellent communication and writing skills – Required;
- University-level degree in English, journalism, communications, marketing, or a related field – Preferred;
- Ability to thrive in a deadline-driven environment – Required;
- Strong organizational skills – Required;
- Proficiency in Microsoft Word, Excel, and PowerPoint – Required;
- Familiarity with Adobe InDesign, Photoshop, and Illustrator – Preferred;
- Experience with SharePoint administration – Preferred;
- Background in marketing and design – Preferred;
- Technical expertise in civil, structural, or related disciplines, or construction experience – Preferred;
- Experience with HardDollar software – Preferred;
- Knowledge of the Canadian Press style guide – Preferred;
