Job Title: Receptionist

We are seeking a highly organized and detail-oriented Receptionist/Facilities Coordinator to provide exceptional support to our clients and visitors. This is a temporary position with the possibility of becoming permanent after three months, based on performance.

Key Responsibilities:

  • Greet visitors and manage the guest sign-in process.
  • Ensure meeting rooms are properly set up, including chair arrangement, snack restocking, and cleaning after events.
  • Set up catering and assist with event preparation.
  • Handle mail distribution, scanning finance-related documents, and coordinating couriers.
  • Manage and log temporary access badges.
  • Address general inquiries and coordinate building services (e.g., lights, handicap facilities).
  • Daily rounds to ensure the office is running smoothly.
  • Restock snacks and coffee supplies throughout the day.
  • Empty and refill dishwashers, maintain kitchen cleanliness, and ensure counters are stocked with napkins.
  • Maintain the copy room, ensuring all supplies (paper, pens, sticky notes) are available.
  • Organize and distribute snacks and fruit for all floors.
  • Stock the customer mini-fridge with water and manage orders for coffee machine powders.
  • Assist in setting up meeting rooms for events, including arranging furniture and catering.

Requirements:

  • Previous experience in administration, office coordination, or facilities management.
  • Strong verbal and written communication skills.
  • Ability to think on your feet.
