Key Responsibilities:

  • Monitor adherence to US FMCSA/DOT and Canadian national safety regulations across various provinces.
  • Supervise fleet and driver documentation to guarantee compliance.
  • Manage the renewal process for driver qualifications.
  • Assist in claims management with insurance providers.
  • Support the driver recruitment process to ensure candidates meet both regulatory and company standards.
  • Facilitate automobile insurance renewals by supplying necessary information.
  • Oversee driver Hours of Service (HOS) using ELD logs and driver qualifications to ensure compliance.
  • Conduct audits and monitoring to verify adherence to policies and procedures.
  • Assist in the investigation of incidents related to work.
  • Compile reports on incidents and provide statistical data to management and clients.
  • Manage CVOR events and compliance monitoring.
  • Maintain Driver Qualification Files and oversee the Drug and Alcohol Program.
  • Handle data entry for fleet maintenance records.
  • Conduct driver orientation sessions.
  • Report and schedule follow-ups with drivers regarding violations, accidents, and other incidents.
  • Collaborate with other departments to enhance driver retention and address complaints.
  • Oversee the licensing of all commercial vehicles and trailers.
  • Manage annual licensing renewals and the ordering of US transponders for trucks.
  • Assist in the renewal of IFTA permits and other necessary permits.
  • Order and maintain special permits and driver abstracts for annual reviews.
  • Track and distribute driver fuel cards and bridge cards for border crossings.
  • Update records and generate reports as required.
  • Support the recruiting department to ensure high-quality driver recruitment.
  • Act as the primary contact for all incidents and collaborate with insurance companies throughout the process.
  • CDL certification is a plus.
  • Be available for on-call emergency situations.
  • Review Operating Authority Binders with new owner-operators.
  • Create and maintain master records of trucks, trailers, and drivers using TMS software.
  • Assist with additional safety and compliance functions as needed.

Qualifications:

  • Strong verbal and written communication skills.
  • Knowledge of Hours of Service and MTO/DOT regulations.
  • Attention to detail, effective time management, and organizational skills.
  • Proficient in computer applications including Word, Excel, Outlook, PDF, and PowerPoint.
  • Familiarity with trucking dispatch and related software is advantageous.
  • Ability to thrive in a fast-paced environment and meet deadlines.
  • Availability to work weekends as required.
  • Experience with other trucking companies is beneficial.
  • Possession of a G License and access to a vehicle for travel.
  • General understanding of North American regions.
