Position Overview: The Student Services Coordinator plays a vital role in addressing inquiries from students and visitors, managing service requests, and executing daily operational responsibilities. This position requires active listening and a deep understanding of the needs of both guests and students, ensuring a high standard of customer satisfaction at all times.

Key Responsibilities:
  1. Exhibit exceptional customer service skills through various communication channels, including phone, email, and face-to-face interactions.
  2. Utilize the Campus Living Centres' software systems effectively.
  3. Handle financial tasks such as processing payments, managing invoices, and reviewing account statuses.
  4. Oversee video surveillance systems to ensure continuous recording.
  5. Uphold the privacy of students and guests diligently.
  6. Be knowledgeable about emergency protocols and the procedures for on-call staff.
  7. Identify appropriate contacts for various situations, including residence personnel and facility contractors.
  8. Ensure timely updates on room statuses from the housekeeping team.
  9. Manage reservations, check-ins, check-outs, and account settlements with professionalism.
  10. Maintain a tidy and organized front desk, lobby, and office environment.
  11. Understand the functions of building departments, including maintenance, housekeeping, residence life, and conference services.
  12. Oversee front desk operations, including guest key card issuance, financial administration, report generation, and maintaining cleanliness in key areas.
  13. Ensure responsible use of building keys.
  14. Perform any additional duties as assigned.
Health & Safety Responsibilities:
  • Adhere to safety protocols and use protective equipment as mandated by the Occupational Health and Safety Act and Campus Living Centres regulations.
  • Complete all required online and in-person training modules prior to commencing regular duties.
  • Complete WHMIS 2015 and GHS system training, along with standard operating procedures training, before starting regular responsibilities.
Qualifications:

Education: High School Diploma; some college or university education is preferred.

Skills and Abilities:

  • Excellent verbal communication skills are essential.
  • Strong customer service orientation is required.
  • A positive attitude is crucial.
  • Ability to work independently with minimal supervision.
  • Capability to manage multiple tasks simultaneously.

Experience: A minimum of one year of relevant industry experience or equivalent customer service experience is required.
