Job Summary:

We're seeking an experienced Administrative Assistant to join our team. As a key member of our operations team, you'll play a vital role in ensuring the smooth day-to-day functioning of our business.

Key Responsibilities:

Accounts Payable:

  • Process incoming invoices and match them to purchase orders in our ERP system.
  • Prepare cheque runs and EFT payments as required.
  • Manage vendors in our ERP system, including adding, removing, and updating records.
  • Calculate cash disbursements and ensure accurate month-end preparation.

Accounts Receivable:

  • Generate customer invoices and credits in our ERP system.
  • Distribute invoices and credits to customers and manage payment receipts.
  • Perform customer collections and provide A/R status reporting.

Purchasing:

  • Procure MRO materials and services, including cycle counts and vendor management.
  • Create and distribute purchase orders as required.
  • Receive and process purchase orders in our ERP system.

Support:

  • Provide customer service support, including order entry, product quoting, and freight coordination.
  • Manage general files, including AR/AP, inventory transactions, and manufacturing orders.
  • Release production orders to the production floor.
  • Prepare various reports, including income statements and balance sheets.
  • Verify accuracy in reports and postings.
  • Prepare and receive courier shipments as required.
  • Manage switchboard and incoming mail.

Requirements:

  • Excellent communication and interpersonal skills.
  • Strong attention to detail and ability to multitask.
  • Patience and ability to remain calm under pressure.
  • Strong organizational skills and ability to prioritize tasks.
  • Adaptability and flexibility to handle changing priorities.
  • Proficiency in MS Office, particularly Excel, and experience with ERP systems.
  • A positive attitude and ability to work well in a team environment.
