Position Overview:

We are seeking a Patent Legal Assistant for a contract role. The ideal candidate will possess extensive experience in patent law and demonstrate a comprehensive understanding of patent processes. Exceptional communication skills and the ability to work independently as well as collaboratively are essential. The candidate should be adept at managing a high-volume workload in a dynamic environment.

A strong customer service orientation for both internal and external stakeholders, coupled with a sense of urgency, is crucial for success in this position.

Key Responsibilities:

  • Oversee all patent deadlines and ensure timely follow-ups
  • Prepare and file responses to Office Actions
  • Draft forms and application documents for Canadian, US, and Patent Cooperation Treaty (PCT) submissions
  • Communicate effectively with clients
  • Generate weekly and monthly reports for clients
  • Manage expense report processing
  • Organize and prioritize a high volume of tasks with precision
  • Maintain calendar schedules
  • Handle accounting duties, particularly billing and accounts
  • Address daily administrative tasks
  • Ensure the highest quality of work is produced
  • Take responsibility for all assigned tasks
  • Exhibit initiative in all responsibilities
  • Maintain confidentiality at all times

Qualifications:

  • At least 5 years of experience as a Patent Legal Assistant
  • Completion of a post-secondary education, ideally in a Legal Assistant Program
  • Ability to handle confidential information with discretion
  • Capacity to manage time-sensitive situations and multiple demands

Required Skills:

  • Proficiency in Microsoft Office Suite (including Word, Excel, and Workshare Compare)
  • Familiarity with PATTSY is advantageous
  • Strong verbal and written communication abilities
  • Effective problem-solving skills
  • Sound judgment and decision-making capabilities
  • Excellent interpersonal skills
  • Highly organized and resourceful
  • Detail-oriented
