Position Overview:
We are seeking a skilled Legal Assistant specializing in Patent law for a contract role. The ideal candidate will possess substantial experience in patent processes and demonstrate a comprehensive understanding of patent law operations. Strong communication skills and the ability to work autonomously as well as collaboratively are essential for success in this position.
The successful applicant will exhibit a strong customer service orientation, catering to both internal and external stakeholders, with a keen sense of urgency in managing tasks.
Key Responsibilities:
- Track and manage all patent deadlines and ensure timely follow-ups
- Prepare and file responses to Office Actions
- Draft forms and application documents for Canadian, US, and Patent Cooperation Treaty (PCT) submissions
- Communicate effectively with clients
- Generate weekly and monthly reports for client review
- Process and manage expense reports
- Organize and prioritize a high volume of work with precision
- Oversee calendar management
- Handle accounting duties related to billing
- Manage daily administrative tasks
- Deliver high-quality work consistently
- Take ownership of assigned responsibilities
- Maintain confidentiality in all matters
Qualifications:
- At least 5 years of experience as a Patent Legal Assistant
- Completion of a post-secondary education, ideally in a Legal Assistant Program
- Ability to handle confidential information with discretion
- Capability to thrive under pressure and manage multiple priorities
Required Skills:
- Proficiency in Microsoft Office Suite (Word, Excel, and Workshare Compare)
- Familiarity with PATTSY is advantageous
- Excellent verbal and written communication skills
- Strong problem-solving abilities
- Good judgment and decision-making skills
- Strong interpersonal skills
- Highly organized and resourceful
- Detail-oriented
