As a Bilingual Administrative Support Specialist, you will play a crucial role in assisting the designated team with their daily operations, ensuring that clients receive timely and effective service.

Key Responsibilities:

Reporting to the Manager of Home and Community Care, the Administrative Support Specialist will assist Care Coordination staff with various operational tasks, providing essential administrative and clerical support within the assigned team.

  • Deliver information and referrals while ensuring a high standard of client service to staff, families, service providers, and the public.
  • Manage incoming and outgoing calls, ensuring effective communication within the team and proper distribution of information.
  • Maintain accurate and secure client records in accordance with established protocols, including data entry and documentation of actions taken.
  • Listen to and document messages, relay information, and coordinate service adjustments as necessary.
  • Process requisitions and manage inventory, ensuring supplies are ordered in line with established guidelines.
  • Update client files based on standardized procedures or directives from Care Coordinators.
  • Communicate with staff, care providers, and pharmacies regarding service confirmations and necessary actions.
  • Schedule routine client appointments and prepare meeting agendas as directed.
  • Coordinate transportation for clients as authorized by Care Coordinators.
  • Maintain the team's schedule and assist with various projects and initiatives as required.

Qualifications:

  • High school diploma plus a one-year Community College diploma in Office Administration, Business, Health Administration, or a related field.
  • A minimum of 18 months of experience in a customer service or related role within healthcare or administration.
  • Compliance with the mandatory COVID-19 vaccination policy is required.

Preferred Skills:

  • Knowledge of office procedures and operation of office equipment.
  • Proficiency in various computer applications, including email and internet usage.
  • Strong communication skills and the ability to work collaboratively with diverse stakeholders.
  • Excellent problem-solving abilities and attention to detail.
  • Self-motivated with the capacity to work independently and as part of a team.
  • Fluency in both English and French is essential.

Work Schedule

Monday to Friday – 8:30 am to 4:30 pm (35 hours/week)
