Key Responsibilities:

The Unit Coordination Assistant (UCA) plays a crucial role in delivering clerical support for patient administrative services, ensuring efficient information management and unit reception. The UCA is responsible for the clerical administration and operation of the unit, performing various duties aligned with the job classification.

Core Duties Include:

  • Patient Administrative Services:
    • Manage and coordinate patient information, facilitating effective communication to enhance patient care.
    • Update patient demographics and contact information.
    • Address patient and family inquiries, escalating concerns as necessary.
    • Collaborate with internal departments and external healthcare facilities to manage appointments and patient transfers.
    • Ensure timely notification of patient movements and test results.
    • Respond to patient call bells and assist with inquiries.
    • Prepare documentation for Health Information Management post-discharge.
  • Information Management:
    • Ensure accurate patient charts are sent to Health Records.
    • Maintain updated information sheets and binders.
    • Conduct audits in patient rooms as required.
    • Enter data into the Critical Care Information System (CCIS).
  • Reception Duties:
    • Welcome visitors and direct them to appropriate personnel.
    • Admit patients and validate their demographic and insurance information.
    • Explain hospital policies and procedures to patients and visitors.
    • Handle telephone inquiries and direct calls as needed.
  • Clerical Administration:
    • Update departmental lists and manage office supplies.
    • Process financial transactions related to unit supplies.
    • Assist in maintaining unit organization and efficiency.
    • Distribute incoming mail and messages for unit staff.
  • Scheduling and Payroll Support:
    • Assist staff with scheduling inquiries and timekeeping systems.
    • Coordinate with Scheduling Clerks to ensure staffing alignment.
  • Epic System Responsibilities:
    • Update patient demographics in the Epic system.
    • Schedule follow-up care appointments.
    • Initiate service requests and manage patient transport needs.

Qualifications:

  • High school diploma or equivalent; additional education in healthcare administration is advantageous.
  • Experience in an administrative role, preferably within a healthcare setting.
  • Familiarity with medical terminology is preferred.
  • Strong computer skills and proficiency in Epic are desirable.
  • Excellent communication skills and a customer service-oriented approach.
  • Ability to manage time effectively and adapt to changing priorities.
