Personal Assistant to the Chief Executive Officer

Position Overview:
Our client, a prominent organization recognized for its excellence in delivering premier solutions across Canada, is seeking an Executive/Personal Assistant to support the President & CEO. This role is essential in maintaining efficient operations and facilitating effective time management.

Key Responsibilities:

  1. Oversee the President & CEO's calendar, manage expense reports, and handle correspondence.
  2. Direct and manage emails, responding on behalf of the President & CEO when necessary.
  3. Organize meetings, prepare agendas, and make necessary arrangements; attend meetings, document minutes, and follow up on action items.
  4. Monitor and prioritize objectives, comprehend organizational functions, and maintain comprehensive files.
  5. Coordinate personal appointments, reservations, and event planning.
  6. Compile monthly financial reports for a holding company.
  7. Arrange all business travel, including transportation and lodging, and modify travel plans as required.
  8. Provide general administrative support and assist team members with overflow tasks and projects.

Qualifications:

  1. A minimum of 10 years of administrative experience, including serving as an Executive Assistant to a C-suite executive.
  2. Strong business insight and a commitment to confidentiality.
  3. Outstanding written communication skills, with the ability to produce clear, professional, and precise documentation.
  4. A post-secondary degree in business administration is advantageous.
  5. Experience in marketing and written communication is beneficial.
  6. Excellent organizational, time management, and interpersonal abilities.
  7. Capability to work independently, manage confidential information, and effectively prioritize tasks.
  8. Proficiency in Microsoft Office Suite.

Compensation and Benefits:

  1. Salary range of $75,000 - $90,000 based on experience.
  2. Comprehensive extended benefits.
  3. Three weeks of vacation.
