Executive Administrative Coordinator

The position of Executive Administrative Coordinator entails delivering administrative assistance to the Global Hospitality team, which includes the Senior Vice President of Global Hospitality, the Vice President of Wellness (LA), and the Vice President of Food and Beverage, Americas (Miami).

Key Responsibilities:

  • Partnering with the SVP Global Hospitality on comprehensive program management, strategically planning and organizing for optimal outcomes.
  • Coordinating with the Project & Integration team and other Senior Executive Administration as required.
  • Arranging travel for essential personnel and providing travel and expense management support.
  • Overseeing calendars, adapting to last-minute adjustments, and organizing meetings and events.
  • Evaluating and synthesizing data, maintaining email groups, and managing onboarding schedules.
  • Facilitating communications, drafting documents, and managing email accounts.
  • Updating contact information, managing invoices, and maintaining records.

Qualifications:

  • Bachelor's or master's degree in a relevant field or equivalent experience.
  • 5+ years of experience supporting Executives in a dynamic setting.
  • Exceptional business writing and communication abilities.
  • Proficiency in Microsoft Office and presentation development.
  • Capability to work autonomously and manage confidential information.
  • Positive demeanor, collaborative spirit, and proactive mindset.
  • Analytical capabilities and ability to thrive in a fast-paced environment.
  • Experience in a matrix organization.
  • Outstanding cross-cultural communication skills.
