Position Overview

The Project Management Assistant plays a crucial role in the oversight and execution of various contracts associated with Track, Infrastructure, and Right-of-Way operations across Western Canada. Collaborating closely with technical specialists and qualified on-site personnel, the Project Management Assistant will be responsible for managing all facets of contract administration. This includes ensuring project specifications are met, fostering a culture of safety, conducting quality assurance and control, and generating internal reports for the management team, along with other tasks as delegated by the Project Manager or their designate.

Key Responsibilities

  • Evaluates and prepares the scope of work necessary to meet contract obligations.
  • Develops and verifies budget and revenue projections based on project scope and specifications.
  • Creates and monitors project timelines, including critical path analysis, resource distribution, and delay assessments.
  • Formulates and validates work plans and methodologies, including securing necessary permits, organizing resources, and coordinating tasks among various stakeholders.
  • Manages project activities in accordance with budgetary and contractual stipulations.
  • Assists in the procurement of materials, equipment, and services, and organizes training for reporting personnel.
  • Prepares and submits necessary reports and documentation as per project requirements.
  • Participates in internal meetings and discussions with clients and other stakeholders.
  • Monitors and assesses the performance of on-site employees and subcontractors.
  • Develops all required documentation for project-related invoicing.
  • Investigates and reports issues arising during all project phases.
  • Prepares and submits Requests for Information (RFIs), change order requests, and other documentation related to contract modifications.
  • Analyzes costs, budgets, production, and other reports as requested by management.
  • Provides guidance to project coordinators and other staff members.
  • Actively promotes a culture of safety.
  • Performs other duties as assigned.

Qualifications

  • Bachelor's degree or diploma in a relevant field such as Electrical Engineering, Mechanical Engineering, Civil Engineering, Contract Management, or Project Management.
  • A minimum of three (3) years of relevant project or contract management experience in heavy construction or railroad environments.
  • Proficiency in common business and construction software, including Microsoft Office, Microsoft Project, Primavera P6, Hard Dollar, or JD Edwards.
  • Previous supervisory or management experience is highly desirable.
  • P.Eng designation or equivalent is advantageous.
  • PMP designation or equivalent is beneficial.
  • Demonstrated experience in project management encompassing project accounting, project controls (cost, schedule, change management, etc.), procurement, contract administration, safety, and quality assurance.

Physical Requirements and Work Environment

  • Occasional weekend or night work may be necessary.
  • Exposure to outdoor construction sites in varying weather conditions may be required.
  • Fieldwork primarily occurs on and around active train tracks.
  • Work may take place in urban, rural, or remote areas, with accommodations and transportation provided as needed.
