CB Canada is looking for a skilled Executive Assistant to provide support within the Human Resources and Communications division.
In this role, you will report directly to the Vice President of HR, and your primary responsibilities will encompass:
- Overseeing the calendar of the VP of HR and Communications;
- Organizing meeting invitations and agendas, as well as reserving meeting spaces;
- Drafting correspondence that meets professional standards;
- Facilitating meetings and documenting minutes for the HR Committee of the Board;
- Providing administrative assistance to the HR and Communications team;
- Executing general administrative duties, including composing and merging letters for mass distributions, and preparing presentations or various reports;
- Collaborating with other assistants to establish and uphold various administrative standards, along with maintaining a schedule for recurring corporate initiatives;
- Assisting the HR Center with non-transactional employee inquiries;
- Contributing to the HR policy committee and managing necessary policy revisions following meetings;
- Reconciling expenses and overseeing departmental credit card usage in line with company policies.
Qualifications:
Essential Skills:
- Proven experience as an assistant, recognized for professionalism and a positive demeanor;
- Bilingual proficiency with strong organizational, writing, and coordination skills;
- Dependable individual eager to engage in departmental projects and tasks;
- Expertise in Outlook, PowerPoint, Word, and Excel.
Required Background:
- High school diploma or college degree with at least 5 years of experience in administrative support;
- Exhibits high integrity and professionalism, ensuring confidentiality and tact at all times;
- Must be bilingual (English and French) in both spoken and written forms;
- Demonstrates strong communication, organizational, and multitasking abilities suitable for a multidisciplinary team.
