Job Summary

We are seeking an experienced Administrative Assistant to join our team at Montreal Visa Inc. as a key member of our administrative staff. The successful candidate will be responsible for providing administrative support to our legal team, ensuring the smooth operation of our office, and maintaining accurate records.

Key Responsibilities
  • Coordinate the flow of information and ensure timely communication with team members and external stakeholders.
  • Manage and maintain accurate and up-to-date filing systems, both physical and digital.
  • Prepare and key in correspondence and legal documents, ensuring compliance with legal procedures and grammatical usage.
  • Review and proofread documents and correspondence to ensure accuracy and quality.
  • Coordinate appointments, meetings, and conferences, and maintain schedules and calendars.
  • Provide administrative support to the legal team, including preparing and distributing meeting minutes, and maintaining records of court sessions and other events.
  • Establish and maintain office procedures and routines, ensuring efficiency and productivity.
Requirements
  • Secondary (high) school graduation certificate.
  • 7 months to less than 1 year of experience in an administrative role.
  • Excellent communication and organizational skills.
  • Ability to work in a fast-paced environment and prioritize tasks effectively.
  • Proficiency in Microsoft Office and other software applications.
