Position Overview:

The University Registrar's Office (URO) serves as a pivotal support entity that offers institutional guidance on student financial aid, awards, client services, records management, and learning space administration. The URO collaborates with faculty and divisional registrars to assist both undergraduate and graduate students throughout their academic journey, acting as an advocate and service provider for the University of Toronto's tri-campus registrarial services.

About the Learning Space Management Team:
The Learning Space Management (LSM) team is dedicated to achieving excellence in learning environments, overseeing the University's central classrooms and testing facilities. This team provides strategic leadership in academic scheduling, classroom design, instructional technology, and accommodations for testing.

Key Responsibilities:

  • Gathering information to identify scheduling constraints.
  • Evaluating and documenting room requirements for course delivery; recommending enhancements to room booking protocols.
  • Resolving conflicts related to timetabling and room bookings.
  • Assessing departmental room submissions to optimize space utilization.
  • Prioritizing booking requests for various campus spaces.
  • Creating complex data modeling scenarios to inform course and exam timetable decisions.
  • Coordinating examination schedules.
  • Acting as a resource for specialists on specific issues.

Essential Qualifications:

  • Bachelor's Degree or an equivalent combination of experience.
  • A minimum of four years of relevant experience in scheduling operations within a post-secondary context.
  • At least two years of recent experience using InfoSilem or similar scheduling software.
  • Experience in course development and scheduling within an academic division or registrar's office.
  • Proficiency in data analysis and report generation.
  • Ability to write queries for data extraction from databases.
  • Familiarity with student information systems such as ROSI.
  • Strong data entry and keyboarding skills.
  • Competence in SQL queries, data analysis, and report preparation.
  • Excellent verbal and written communication skills.
  • Exceptional planning and organizational abilities, with a capacity to meet strict deadlines.
  • Advanced proficiency in Microsoft Office Suite, particularly Access and Excel.
