Position Overview:
We are looking for a detail-oriented Payroll Operations Specialist to oversee the comprehensive payroll process. This role involves ensuring precision and adherence to all applicable regulations. Collaboration with site managers, HR, and other essential departments will be key to resolving discrepancies and enhancing payroll workflows.
Primary Responsibilities:
Timecard Evaluation: Assess and confirm employee timecards utilizing the Time and Attendance system. Detect discrepancies and coordinate with site managers and HR to address concerns. Data Management: Input timecard information into the Human Capital Management (HCM) system. Earnings Validation: Confirm earnings and implement adjustments for garnishments, gratuities, retroactive pay, taxable benefits, union dues, and other irregular deductions or pay modifications. Payroll Execution: Execute payroll within the HCM system and produce direct deposit files. Record Maintenance: Organize and uphold payroll documentation, records, and files in accordance with regulatory standards. Benefit Reconciliation: Prepare necessary adjustments for benefit arrears as required. Database Oversight: Manage the payroll database, identify discrepancies, and collaborate with HR to resolve issues. Ensure a physical file system is maintained as a backup. Effective Communication: Foster strong working relationships with all relevant operational departments and maintain clear communication with team members and internal and external regulators. Regulatory Compliance: Guarantee compliance with CRA, HRDC, Health and Safety, and other statutory regulations. Process Enhancement: Identify challenges within the payroll process and suggest procedural or system improvements to enhance accuracy and efficiency. Inquiry Management: Address and resolve internal and external payroll inquiries. Additional Responsibilities: Undertake other duties as assigned or directed.Qualifications and Skills:
High School Diploma; post-secondary education in payroll or a relevant combination of education and experience is advantageous. Canadian Payroll Association certification is a plus. At least 3 years of experience in high-volume payroll processing. Familiarity with Oracle HCM Cloud is beneficial. Experience with Time and Attendance systems (Kronos, Virtual Roster, or similar) is preferred. Proficiency in MS Office, particularly Excel at an intermediate level.
