About the Role

Fergus Esso is seeking an experienced Administrative Assistant to join our team. As an Administrative Assistant, you will play a key role in supporting our operations and ensuring the smooth day-to-day functioning of our office.

Key Responsibilities
  • Event Planning: Coordinate and arrange seminars, conferences, and other events, ensuring all logistical details are taken care of.
  • Minute Taking: Record and prepare minutes of meetings, seminars, and conferences, maintaining accurate and detailed records.
  • Office Procedures: Develop and establish office procedures and routines, ensuring efficiency and productivity.
  • Scheduling: Schedule and confirm appointments, meetings, and events, ensuring timely and effective communication.
  • Communication: Answer telephone calls, relay messages, and respond to electronic enquiries, providing excellent customer service.
  • Data Management: Compile data, statistics, and other information, maintaining accurate and up-to-date records.
  • Supply Management: Order office supplies and maintain inventory, ensuring a well-stocked and organized office environment.
  • Travel Arrangements: Arrange travel, itineraries, and make reservations, ensuring seamless travel experiences.
  • Reception: Greet visitors, direct them to contacts or service areas, and provide a warm and welcoming experience.
  • Document Management: Set up and maintain manual and computerized information filing systems, ensuring accurate and efficient document management.
  • Correspondence: Type and proofread correspondence, forms, and other documents, maintaining high standards of quality and accuracy.
Requirements
  • Computer and Technology: Proficient in MS Office and other relevant software applications.
  • Area of Specialization: Correspondence and administrative support.
  • Work Conditions and Physical Capabilities: Ability to work in a fast-paced environment, under pressure, with tight deadlines, and with attention to detail.
  • Personal Suitability: Ability to multitask, flexibility, organization, teamwork, accuracy, client focus, and reliability.
  • Experience: 1 year to less than 2 years of experience in an administrative role.
  • Language: English.
  • Work Hours: 35 hours per week.
