Note: This is a hybrid role with working hours predominantly from Monday to Friday, 8:00 am to 4:30 pm.

This part-time role provides essential administrative support to the Human Resources Operations team. The ideal candidate will be an organized multitasker who values confidentiality, possesses a good sense of humor, and thrives in a dynamic office setting.

Key Responsibilities:

  • Respond professionally to customer inquiries via phone and in-person when covering for the receptionist.
  • Monitor the general HR Outlook mailbox and appropriately forward emails.
  • Process and distribute all incoming and outgoing office mail and couriers.
  • Provide partial coverage for HR Advisors.
  • Offer administrative assistance to HR and Payroll staff, including processing correspondence, ordering office supplies, and filing.
  • Maintain electronic employee records.
  • Process employee file requests from legal departments.
  • Update employee training records in PeopleSoft.
  • Track and process applications for employee dependent scholarships.
  • Update HR directories as personnel changes occur and refresh the NAIT Staff Portal.
  • Maintain an inventory tracking spreadsheet for office equipment.
  • Assist the HR Executive Assistant as needed.
  • Perform other tasks as assigned.

Skills & Abilities:

  • Excellent verbal and written communication skills are essential for effective interaction with clients and internal/external contacts.
  • Strong organizational capabilities.
  • A commitment to accuracy and efficiency, with keen attention to detail.
  • Intermediate skills in Microsoft Office and Adobe are required; experience with PeopleSoft is an asset.
  • Ability to handle distractions in a positive, courteous, and professional manner at all times.

Qualifications:

  • A minimum of 3 years' experience in an office environment, preferably within a Human Resources office or post-secondary institution.
  • Related post-secondary education is an asset.

Applicants with educational credentials obtained outside of Canada should have their qualifications evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).

Remuneration: $44, $59,144.28 annually, plus a comprehensive benefits package.
