Catch Recruitment is seeking a highly skilled Property Administrator to join our client's team in a dynamic and fast-paced environment. The successful candidate will be responsible for providing administrative support to the Property Management team, ensuring the smooth operation of our client's properties.

Key Responsibilities:

  • Monitor and track monthly rent payments, ensuring timely receipt of funds and resolving any discrepancies.
  • Coordinate with the Property Management team to deliver accurate and timely rent receipt reports.
  • Prepare and disseminate tenant communications regarding rent increases, recoveries, insurance, and other matters as required.
  • Utilize the tenant service call system to track and respond to tenant complaints and requests in a timely and professional manner.
  • Assist the Property Manager with lease renewal and new leasing matters, ensuring compliance with company policies and procedures.
  • Develop and maintain operations procedures for specific properties and overall property management activities, ensuring efficiency and effectiveness.
  • Process quotes, invoices, and claims for completed work, ensuring accurate and timely payment.
  • Prepare annual operating and tenant recovery budgets, as well as monthly comparisons of actual to budget, to ensure financial transparency and accountability.
  • Manage, organize, and ensure the accuracy of the tenant and property database, providing up-to-date information to support business decisions.
  • Assist in the due diligence of potential acquisitions, including coordination of consultants, reporting of results, assembly of finance information, and assembly of final recommendation reports.
  • Complete monthly utility consumption spreadsheets, address any issues with billing, maintain tenant insurance expiry records, and maintain proof of property tax payments and property tax appeal authorizations for all properties.

Requirements:

  • Minimum five years' commercial real estate experience and basic accounting experience.
  • Ability to take initiative and foresee areas where the organization can be proactive, driving business growth and improvement.
  • Health and safety administration experience is considered an asset.
  • Proficiency in MS Word and Excel is essential, with the ability to manage multiple responsibilities in a flexible, deadline-driven environment.
