About the Role

We are seeking a highly skilled Document Control Specialist to join our team at Enerkem Inc. as a Project Coordinator. This is a key role that requires strong organizational skills, attention to detail, and excellent communication skills.

Key Responsibilities
  • Document Control: Ensure all document control operations run smoothly for a project, from start to finish.
  • Project Setup: Initiate document control requirements for a project during startup, establishing all specifications and processes, deploying tools and infrastructure, etc.
  • EDMS Administration: Administer and manage EDMS settings and permissions (electronic document vault).
  • Master Document Registry: Prepare and maintain master document registry (MDR) and distribution lists.
  • Reporting and Problem-Solving: Respond to project demands, publish reports, and solve problems.
  • Team Leadership: Lead document control team for project and support coordination of daily requests.
  • Daily Requests: Perform daily document control requests such as preparing external mandates, logging and distributing documents, performing client turnovers, etc.
  • Quality Assurance: Enforce proper workflows, procedures, distribution lists, and quality assurance standards and maintain data integrity and quality of attributes.
  • Training and Support: Train and assist project team, engineering team, external suppliers, partners, and clients while using our document management systems.
  • Additional Support: Support project team with other tasks as required (lists, printing, formatting, etc.).
Requirements
  • Experience: Minimum of 5 years' experience in a related field, or an equivalent combination of education and experience.
  • Project Experience: Experience in working on large engineering, procurement, or construction projects, preferably in the Oil & Gas Industrial environment to understand sending/receiving drawings, expediting transmittals, and flexibility in working with different platforms.
  • Technical Skills: Working knowledge in the deployment and use of Bentley ProjectWise and Hexagon SDx or equivalent Documentation Vault (i.e. Aconex, Assai, Open Text, etc.).
  • Computer Skills: Strong computer skills with a high proficiency with Excel. Ability to handle large lists, run V-Lookup, Pivot Tables, charts, and macros. Proficient with Microsoft Office (Outlook, Word, Excel, PowerPoint, Visio, and Power BI).
  • Language Skills: Bilingual (French & English) with strong communication skills, both written and verbal.
  • Soft Skills: Meticulous, attentive to detail, strong organizational skills, priority management, strong leadership, initiative, and problem-solving skills.
