Key Responsibilities:
  • Manage HSE registries databases for Canadian and USA operations, ensuring compliance with regulatory requirements.
  • Maintain accurate HSE records and statistics, providing insights for data-driven decision-making.
  • Control the distribution of HSE manuals and related documents, ensuring timely and secure access.
  • Coordinate the General Safety Orientation, ensuring all employees receive comprehensive training.
  • Manage the OneFlo HSE page, ensuring up-to-date information and easy access for employees.
  • Process account payables for the HSE Department, ensuring timely and accurate payments.
  • Attend HSE meetings, take notes, and distribute meeting minutes as required.
  • Maintain HSE training records, notify managers and workers of training requirements, and deficiencies.
  • Manage the HSE Learning Management System, ensuring seamless training delivery.
  • Schedule third-party training, ensuring compliance with regulatory requirements.
  • Oversee the Heads Up for Hazards monthly newsletter, ensuring timely and informative content.
  • Complete HSE questionnaires for bid packages and client requests, providing accurate and timely responses.
  • Maintain the Incident Reporting and Management system, ensuring all serious/major incident actions are closed out and communicated as required.
  • Assist in the role of Emergency Coordinator for all drills and emergencies, ensuring timely and effective response.
  • Order and maintain supplies for the HSE department and Health Center, ensuring timely and secure delivery.
  • Assist with internal and external audits, ensuring compliance with regulatory requirements.
  • Assist the Occupational Health Nurse with coordinating medical testing and wellness programs, ensuring timely and effective delivery.

Preferred candidates will possess a combination of the following:

  • Related post-secondary certificate and/or diploma in office administration an asset.
  • Two to three years office administration experience with a minimum of one year in an HSE environment.
  • Advanced proficiency in Microsoft Office (Word, Excel, Outlook) and SharePoint.
  • Working understanding of client vender systems such as ISNetworld, PIC's or Comply Works is an asset.
  • Working understanding of Incident Management databases an asset.
  • Excellent communication (oral and written), time management, and organizational skills.
  • Detail and results-oriented with the ability to multi-task and adhere to deadlines in a high-paced environment.
  • Demonstrate initiative and the ability to work with minimal supervision.
  • Demonstrate the ability to work within a team environment.
  • Ability to appropriately handle highly confidential information and situations.
