Position Overview

We are seeking a highly organized and detail-oriented individual to join our team as a Conference Center Support Specialist. In this role, you will play a vital part in ensuring the smooth operation of our conference facilities, providing exceptional support to clients, lawyers, and staff.

  • Conference Room Management:
    • Set up and prepare conference rooms for daily meetings and events.
    • Maintain the cleanliness and order of conference rooms throughout the day.
    • Check and replenish supplies in conference rooms as needed.
  • Catering Support:
    • Receive catering orders and coordinate with the kitchen staff.
    • Assist in maintaining the cleanliness of the catering kitchen throughout the day.
    • Provide cocktail service for events as required.
  • Coffee Station Management:
    • Ensure that both the 21st floor and 20th floor coffee stations are well-stocked and clean.
    • Assist in maintaining the Bistro on the 20th floor, ensuring it is always clean and well-stocked.
  • Guest Services:
    • Greet guests warmly and direct them to their designated rooms.
    • Announce guests to lawyers and ensure meeting spaces are prepared.
    • Answer phone calls promptly and professionally.
  • Administrative Support:
    • Reserve conference rooms in the EMS system, managing reservations and ensuring accurate details.
    • Coordinate audiovisual needs for meetings, informing technicians of requirements.
    • Notify catering staff of same-day or last-minute requests.
    • Code and verify invoices in EMS.
    • Assist with supply orders and inventory management.
