POSITION OVERVIEW
Reporting directly to the Property Manager, the Associate Property Manager is responsible for ensuring that all property management policies, procedures, and operations are executed efficiently. This role involves the development, administration, and submission of regular financial reports and budgets (both operating and capital) in accordance with established guidelines. Your expertise in communication, exceptional client relationship management, and data analysis will be pivotal in achieving client satisfaction, team member engagement, and overall financial success.
PRIMARY RESPONSIBILITIES
As an Associate Property Manager, your responsibilities will include, but are not limited to:
- Cultivating positive relationships with tenants through professional and effective responses to tenant inquiries, ensuring that both tenant expectations and landlord standards are consistently met.
- Serving as the primary tenant liaison to ensure that all tenant construction activities and landlord operations are well-coordinated, organized, and proactively managed in accordance with lease obligations.
- Collaborating with the property management team, tenants, vendors, contractors, and senior management as necessary to address operational challenges and implement new initiatives.
- Coordinating and disseminating all relevant tenant communications.
- Sharing responsibility for maintaining the building's presentation to uphold a best-in-class image at all times.
- Assisting in the maintenance and monitoring of ongoing resources and performance metrics to meet program requirements and ensure maximum effectiveness.
- Ensuring that insurance and contract files are complete, accurate, and up-to-date.
- Aiding in the preparation and execution of initiatives aimed at enhancing tenant relations.
- Organizing tenant events, appreciation gatherings, and meetings.
- Supporting the Property Manager with ongoing initiatives and projects.
REQUIRED QUALIFICATIONS
To thrive in this dynamic Associate Property Manager role, candidates should possess:
- A minimum of 3 to 5 years of experience in building and facilities management.
- Bilingualism is considered an asset.
- A community college diploma or equivalent education (e.g., ABI, CET).
- A proven history of developing and maintaining exceptional client relationships to effectively address client needs.
- Experience in Commercial Property Management.
- Proficiency in developing complex budgets.
- Professionalism, adaptability, and the ability to work both collaboratively and independently.
- Strong organizational skills, capable of managing changing client needs and delivering successful outcomes within agreed timeframes.
- Excellent verbal and written communication skills.
- A detail-oriented approach with the ability to resolve issues using factual analysis and sound reasoning.
- Capability to analyze building data effectively.
PROFESSIONAL ACCREDITATIONS
- Certified Facility Manager (CFM) through IFMA.
- Certified Property Manager (CPM) through the Institute of Real Estate Management.
- Facility Management Administrator (FMA) Designation through the Building Owners & Managers Institute (BOMI).
- Real Property Administrator (RPA) through BOMI.
