Position: Administrative and Communications Assistant
Term: Permanent, Full-time, Monday – Friday, 9 am – 5 pm

Overview of the Role
Creative Manitoba is in search of a proactive, well-organized, and motivated individual to fulfill the essential role of Administrative and Communications Assistant. This position is vital for the effective functioning of the office, ensuring that administrative responsibilities are managed efficiently and that communication initiatives are executed seamlessly. The Assistant will undertake a variety of administrative tasks, including managing office reception, data entry, coordinating meetings, and overseeing the organization's digital presence.

Key Responsibilities

  • Manage office reception, including front desk responsibilities, directing calls, and providing general office support.
  • Update and maintain website content, including the weekly e-billboard.
  • Conduct data entry for grants, public art projects, and financial records.
  • Assist in program delivery and provide direct support to the Operations Manager.
  • Oversee social media platforms, ensuring consistent and engaging communication.
  • Coordinate meetings and events, including setting up necessary technology and arranging catering.
  • Maintain a tidy and organized office environment.
  • Collect and manage contacts and materials, including photographic images.
  • Perform additional administrative tasks as required.

Required Skills and Qualifications

  • Strong client service skills with a friendly and approachable demeanor.
  • Proficient in technology, with a solid understanding of Microsoft 365, including document formatting, spreadsheets, and presentations.
  • Excellent organizational skills with a strong ability to manage time effectively.
  • Self-motivated with a keen attention to detail and the ability to identify needs independently.
  • Exceptional communication and writing skills in English.
  • Experience in managing social media and developing content is advantageous.
  • Basic design and photography skills are beneficial.
  • Familiarity with tools such as MailChimp, Canva, and/or Adobe Creative Suite is a plus (training may be provided).
  • Relevant educational background and/or professional experience are considered assets.
