POSITION OVERVIEW

The Project Management Associate is responsible for planning and overseeing the comprehensive delivery of designated projects, ensuring that they are completed within the defined scope, budget, and specifications.

At this level, the projects typically involve moderate complexity, risk, and exposure.

PRIMARY RESPONSIBILITIES

For the projects assigned:

  • Plan and supervise the complete delivery of projects, typically of low complexity, risk, and exposure.
  • Collaborate with relevant stakeholders to define project scope, deliverables, and requirements.
  • Develop and execute project plans effectively.
  • Assess resource and budget needs, including cost estimates and timelines.
  • Identify potential project risks and create mitigation and contingency strategies.
  • Monitor project progress against timelines to ensure timely completion.
  • Oversee the contributions of project team members and track task completion.
  • Communicate project status to all relevant stakeholders.
  • Ensure that projects are delivered on schedule, within scope and budget, while adhering to all regulatory, environmental, and health and safety standards.

Client Relationship Management

  • Build and maintain strong relationships with clients.
  • Address issues, manage client expectations, and ensure satisfaction.
  • Perform additional duties as required.

Immediate Project Needs

  • Projects will commence promptly; the project manager collaborates with the operations team to gather requirements.
  • Initiate a risk assessment, prepare cost estimates, and conduct a kickoff meeting with all involved parties to outline next steps.
  • Funding is often arranged dynamically, requiring a solid understanding of current industry costs to present budgets to clients.
  • Ability to work independently to navigate challenges and maintain project momentum.
  • Recognize the significance of consistent communication.
  • Navigate the client's organization to identify key stakeholders for project updates.
  • Schedule updates regarding risks and opportunities.

REQUIRED KNOWLEDGE & SKILLS

  • Community college diploma in architectural technology, construction technology, engineering technology, or equivalent experience.
  • 1 to 3 years of project management experience; or 5 to 7 years in project coordination.
  • Proven ability to deliver projects on time, within budget, and compliant with all specifications and requirements.
  • Experience in developing and managing project budgets.
  • Strong skills in project risk mitigation and management.
  • Excellent communication, influence, persuasion, and negotiation abilities.
  • Proven experience in building and maintaining effective relationships.
  • Strong client service orientation.
  • Demonstrated ability in leading project teams.
  • Experience in managing vendor performance.
  • Commitment to continuous improvement and quality, with a focus on best practices and technologies.
  • Proficiency in MS Office applications and ability to quickly learn new software.
  • High sense of urgency and strong multitasking capabilities.
  • Excellent verbal and written communication skills.
  • Ability to independently create project schedules.
  • Competence in developing class D estimates without consultant assistance.
  • Understanding of the construction industry.
  • Ability to tailor reporting for executives and team members.
  • Capability to create business cases for funding with clear, precise information.
  • Goal-oriented mindset.
  • Ability to assess impacts and implement innovative solutions.

Licenses and Professional Accreditation

One or more of the following is an asset:

  • Project Management Institute Accreditation (in progress).
  • LEED certification (in progress). Construction Administration Certificate.
