Position Summary

The Dispatcher is responsible for scheduling, assigning, and dispatching both preventative maintenance and urgent work orders to Technicians, ensuring optimal use of Technician resources through effective scheduling and task allocation.

Key Responsibilities

  • Develops and distributes daily schedules for Technicians, ensuring optimal resource utilization.
  • Supports facility management operations by planning and scheduling Technicians for project-related work.
  • Receives service requests from the call center and accurately documents details into work orders.
  • Evaluates and prioritizes work orders based on urgency and importance.
  • Reviews service request criteria and assigns work orders to suitable Technicians based on skills, location, security clearance, and availability.
  • Monitors work order progress and follows up to ensure timely completion.
  • Prepares reports to assist in tracking work orders and resource allocation.
  • Analyzes Technician utilization and reallocates work orders to maximize resource efficiency.
  • Performs additional duties as required.

Work Requirements

Candidates must be available to work shifts, including weekends, be on-call, and respond to emergencies as needed.

Minimum Education

High school diploma or equivalent.

Job-Related Experience

Experience ranging from one to three years in dispatch, scheduling, or customer service roles.

Knowledge & Skills

  • 1 to 3 years of experience in dispatch, scheduling, or customer service.
  • Bilingual proficiency in English and French.
  • Strong ability to perform under pressure.
  • Effective prioritization of work orders based on significance and impact.
  • Competence in allocating work orders for optimal human resource utilization.
  • Proficient in understanding service request requirements and assigning work orders to the right Technicians.
  • Familiarity with MS Outlook and MS Excel, with a capacity to quickly learn service management software.
  • Strong customer service orientation and skills, with a sense of urgency.
  • Excellent communication abilities.
  • Previous experience in facility management services is an asset.
