Payroll Analyst

Work model: Minimum 3 days in the office per week

Role Overview:

Reporting to the Senior Payroll Manager, the Payroll Analyst will execute and manage payroll-related administrative tasks essential for the precise and timely execution of assigned payrolls. This includes maintaining records, preparing journal entries, reconciling general ledger accounts, and generating various reports for third-party providers while ensuring compliance with statutory remittances.

Key Responsibilities:

  • Process and input designated semi-monthly payrolls for salaried and hourly employees, including directors and retirees, while adhering to established company protocols.
  • Gather, analyze, enter, calculate, and verify payroll data, including hours worked, retroactive salaries, and both statutory and voluntary deductions.
  • Manage off-schedule payments, such as replacement cheques, termination payouts, lump sums, and maternity leave top-ups.
  • Collaborate closely with various Human Resources departments to ensure the prompt processing of new hires, changes, temporary staff, transfers, promotions, and terminations.
  • Review employee documentation for accuracy and completeness in line with company procedures.
  • Prepare various reports on compensation and headcount as needed.
  • Process and verify Records of Employment for terminated employees.
  • Reconcile payroll account information with records from the Canada Revenue Agency (CRA), Revenu Quebec, Employer Health Tax (EHT), and WSIB.
  • Update Stock Options and Restricted Share Unit requests processed by Shareworks in Workday according to company guidelines and reconcile quarterly.
  • Ensure the payroll system is updated for approved off-cycle compensation payments made by third parties.
  • Reconcile payments and contribution files for various employee voluntary deductions accurately and timely.
  • Respond to and verify information requests from various agencies, including CRA and Service Canada.
  • Ensure timely reconciliation of various payroll general ledger accounts.
  • Verify journal entries generated by Workday and Ceridian, and prepare manual journal entries as necessary.
  • Prepare and process year-end adjustments and tax forms, including T4s, T4As, NR4, and Releve 1s.
  • Prepare and reconcile annual returns for EHT and WSIB across multiple provinces.
  • Address queries from internal and external stakeholders.
  • Investigate and resolve payroll discrepancies in collaboration with the Payroll Manager.
  • Maintain confidentiality of employee information by safeguarding payroll records and managing system user access with IT support.
  • Provide backup support for other Payroll team members.
  • Undertake additional duties and projects as required.
Qualifications:
  • Payroll Compliance Practitioner (PCP) designation is mandatory.
  • 5+ years of comprehensive payroll experience, including both salary and hourly payrolls.
  • Proficient in computerized HRIS systems (preferably Workday) and Excel.
  • Experience with Ceridian Powerpay is advantageous.
  • Multi-provincial payroll experience, including Quebec, is a plus.
  • Excellent interpersonal and communication skills, both verbal and written.
  • Strong organizational skills with the ability to manage multiple tasks effectively.
  • Detail-oriented with strong mathematical, statistical, and analytical capabilities.
  • Self-driven with the ability to work independently and collaboratively.
