Administrative Coordinator Job Description

At APJ Immigration, we are seeking a highly organized and detail-oriented Administrative Coordinator to join our team. As an Administrative Coordinator, you will play a critical role in ensuring the smooth operation of our office.

Key Responsibilities
  • Process Improvement: Conduct regular reviews and assessments of new administrative procedures to identify areas for improvement and implement changes to increase efficiency.
  • Team Collaboration: Delegate tasks to office support staff and work collaboratively to achieve common goals.
  • Project Management: Set work priorities and ensure compliance with procedures and deadlines to meet project objectives.
  • Administrative Support: Perform a range of administrative tasks to support the organization, including data entry, record-keeping, and correspondence.
  • Office Operations: Coordinate office services such as accommodation, equipment, and supplies to ensure a productive and efficient work environment.
  • Financial Management: Assist in budget preparation and maintain inventory controls to ensure accurate financial reporting.
  • Reporting and Analysis: Compile data and prepare reports, manuals, and correspondence to support business decisions.
  • Leadership: Supervise and coordinate office administrative processes to ensure seamless day-to-day operations.Diversity and Inclusion Support
  • Cultural Awareness: Conduct awareness training for employees to create an inclusive work environment for individuals with disabilities, newcomers, refugees, youth, and Indigenous people.
  • Work Environment: Ensure that all employees feel valued and respected, and that our workplace is free from discrimination and harassment.
  • Work Term: This is a permanent position.
  • Work Language: English is the primary language of communication in this role.
  • Hours: The successful candidate will work 30 hours per week.
