POSITION OVERVIEW

The Corporate Legal Support Specialist will engage in a variety of administrative functions that are critical to the success of our team. Your responsibilities will include managing schedules, preparing documents, and ensuring that all client needs are met efficiently and effectively.

KEY RESPONSIBILITIES

  • Perform administrative tasks such as organizing meetings, maintaining calendars, and coordinating travel arrangements while collaborating with internal departments to ensure timely delivery of documents;
  • Draft, edit, and proofread correspondence and legal documents with meticulous attention to detail;
  • Manage lawyer dockets and liaise with the Accounting Department for billing and trust processes;
  • Open, maintain, and close client files, adhering to firm protocols for knowledge management;
  • Handle incoming and outgoing communications, including email management;
  • Prepare and manage expense reports and requisitions;
  • Maintain accurate client and matter records;
  • Organize both electronic and physical files as required;
  • Foster a collaborative team environment by supporting colleagues during absences;
  • Undertake additional tasks as assigned.

QUALIFICATIONS

  • A minimum of three to five years of experience as a legal assistant in relevant practice areas;
  • Post-secondary education in business or a related field; a Legal Administration Diploma is preferred;
  • Strong ability to handle sensitive information with discretion and maintain confidentiality;
  • A collaborative spirit, willing to assist team members and share responsibilities;
  • Capability to produce high-quality work under tight deadlines;
  • Excellent communication skills, both verbal and written;
  • Proficiency in Microsoft Office and familiarity with accounting/docketing systems;
  • Exceptional organizational skills and attention to detail;
  • A professional demeanor with a proven track record of managing confidential information;
  • Strong problem-solving abilities and self-motivation.
