The Role
We are seeking a highly organized and proactive Team Assistant to support the smooth operation and efficiency of our global business aligned tech teams. The successful candidate will be responsible for managing various administrative tasks, including organizing meetings, preparing agendas, taking minutes, and following up on action items.
Key Responsibilities
- Organize meetings, prepare agendas, take minutes, and follow up on action items.
- Serve as the primary point of contact between the tech teams and other departments, facilitating effective communication.
- Collaborate with internal departments and external organizations to research and prepare content for correspondence and presentations.
- Ensure all documentation is accurate and professionally presented.
- Plan and organize team events, including meetings, workshops, and team-building activities.
- Arrange complex travel itineraries, liaising with internal and external organizations to ensure seamless travel plans.
- Manage procurement processes by creating and tracking purchase orders.
- Handle administrative duties such as filing, data entry, and maintaining team records.
- Provide general support to team members, enhancing productivity and efficiency.
- Assist in the onboarding and offboarding processes for leavers and new joiners.
- Coordinate with Team members to assist with urgent vendor payment requests and delayed response ServiceNow tickets.
- Updating SharePoint site for both teams to drive engagement and serve as an Intranet platform.
Requirements
- High School diploma or equivalent experience.
- Hands-on experience in providing administrative service for larger teams.
- English level proficiency (C1 preferred).
- Advanced digital technology skills, including proficiency in using the M365 suite for productivity and collaboration.
Preferred Qualifications
- Bachelor's degree.
- Demonstrable experience in providing secretarial support to senior leadership through virtual collaboration as well as face-to-face interactions.
- Excellent organizational skills with high attention to detail, including the ability to handle complex travel arrangements and organize cross-site events.
- Experience with systems like SAP Ariba and an understanding of procurement processes will be an advantage.
